MORI AI Enhancements

  1. Call Forwarding Now Available! — For stores leveraging the DealerMine Telephony solution, a new "Call Forwarding" option has been added within Call Queues. You can now configure a 10-digit phone number (such as your MORI number) that calls will be forwarded to when the configured number of queue loops has been reached without the call being answered, rather than routing to voicemail. The caller can still press 1 at any time during the queue to leave a voicemail, if setup. This setting is configurable per queue under Telephony Config.

  2. Web Leads — MORI can already email leads to a DealerMine web leads email address, but now those leads are enhanced to auto parse so the customer name will be auto populated and, where there is a clear match to name and phone number, it will auto link to a customer profile so your BDC doesn’t have to manually link them.

  3. Overflow vs Reception — MORI is now able to better manage transfer reasons as we are introducing a setting to indicate whether MORI is a front line receptionist, or taking service overflow and after hours calls only. The setting will invoke slightly different instructions to ensure email transfers can be used more readily during business hours, ultimately giving better control over when phone vs email transfers are used.


MORI AI Fixes

  1. Maintenance Services Using Incorrect Name — Fixed an issue where MORI was returning the Maintenance Group Name from Maintenance Config instead of the customer-friendly name configured in MORI Settings. For example, a service was being called "Fuel Injector Cleaner KCJDR" on a live call instead of simply "Fuel Injector Cleaner." Services are now correctly returned using the name set in the MORI Maintenance Setting.


Service CRM Fixes

  1. Password Complexity — We have applied some changes to enhance security across the CRM. Password complexity rules now as follows: 8 characters minimum, 1 upper case, 1 digit, 1 special character, password cannot repeat last one used.

  2. BDC Report Card Error — Fixed an error on the BDC Report Card that was causing failures across multiple databases.

  3. Recall Integration CRM Error — Resolved a URI format exception causing Recall Integration errors when checking recalls from customer profiles.

  4. Fetch: Error Sending Email — Fixed an issue where sending a Fetch by email (both immediate and scheduled) was throwing a "Configuration files are not supported" error.

  5. Batch ROI Report Error — Fixed an error preventing the Batch ROI report from loading for certain stores and date ranges.

  6. Batch Texting: Distribute Replies Not Working — Fixed an issue where the Distribute Replies feature in Batch Texting was not assigning the selected distribution users as the FROM user on sent texts. Texts were being sent with a blank username, causing replies to route to "Mailing" instead of the designated users.


OLS Fixes

  1. Unable to Push Unconfirmed Appts to Draft with No Opcode — Fixed an error that occurred when trying to validate an OLS appointment that had no opcode (only comments). You can now save these as draft appointments without error.

  2. OLS Appt Booking Error ("Your Appointment Did Not Book") — Resolved issues causing false error messages during OLS appointment bookings. For stores with Push to DMS enabled, appointments were incorrectly landing in the Unconfirmed tab due to advisor number mismatches. For stores with Push to DMS disabled, a false error was displaying even though the appointment successfully reached the Unconfirmed tab.


Telephony Enhancements

  1. Telephony Traffic Isolation — Telephony traffic has been fully migrated off the shared Common database infrastructure to a dedicated Telephony server. This separation improves reliability and performance for both telephony and non-telephony operations, removing load from shared infrastructure.


Telephony Fixes

  1. Inbound/Outbound Voice Files Playing for Wrong Store — Resolved an issue introduced during a voice file migration to AWS cloud where non-unique file names caused the wrong store's recordings to play. All existing voice drop and voicemail recordings now play the correct file for the correct store. New recordings were not affected.

  2. Telephony Inbound & Outbound Call Failures — Resolved intermittent telephony failures affecting both inbound and outbound calling. Root causes included SQL execution timeouts causing "User Undefined" errors on login and outbound call delays, as well as queue member dequeue failures causing inbound calls not to reach desk phones.


DMS Fixes

  1. CDK: Makes and Models Not Populating — Fixed an issue affecting multiple CDK stores where Make and Model codes would not load when adding a vehicle, preventing users from adding VINs and booking appointments.

  2. Reynolds: Error Booking Appointments — Resolved a booking error affecting ERA (Reynolds) stores that was preventing appointment creation.

  3. Tekion: VIN on Incorrect Profile — Fixed an issue where VINs remained on incorrect customer profiles due to voided Repair Orders still showing as WIP. The VIN association process now excludes Open ROs, using only Closed Deals, New Appointments, and Closed ROs for VIN placement.

New Features & Enhancements

Pending Guest Workflow Changes

  • Traffic Log - Pending Guest Details Now Visible on the Log
    When a pending guest is created with optional details like first name, last name, phone number, or a description, that information now displays directly on the pending guest's row in the Traffic Log. Salespeople can identify who a pending guest is without opening the record, and the details still carry forward automatically when starting an Add Up search or creating a new prospect.

  • Add Guest to Traffic Log - Now Requires a Customer Search First
    Selecting "Add Guest to Traffic Log" now opens the Add Up search screen first, instead of jumping straight to the Add Guest form. This gives receptionists and salespeople a chance to find an existing customer before creating a new guest record. If no match is found, an "Add Guest to Traffic Log" link at the bottom of the Add Up screen still allows a new pending guest to be created.

  • Add Guest to Traffic Log - Redesigned with Optional Customer Details
    The Add Guest to Traffic Log form has been redesigned to capture a description, assign a salesperson, and set traffic details all in one place, with a new optional section for first name, last name, phone number, and email if any of that information is available. Adding these details helps pre-fill the salesperson's search later, making it easier to match the pending guest to an existing customer.

  • Pending Guests - Double-Click Now Opens a Pre-Seeded Customer Search
    Double-clicking a pending guest (that isn't linked to an internet lead) now opens the Add Up search screen instead of an empty Update Guest form. If any name, phone, or email information was captured when the guest was created, the search bar is automatically filled in and searched. If a match is found, the salesperson can log a First Visit or Be-Back with one click; if not, they can create a new prospect.

  • Pending Guests - New "Information Required" Prompt Before Creating a Prospect
    When creating a new prospect from a pending guest with no identifying information on file, an "Information Required" popup now prompts the salesperson to enter any name, phone, or email details gathered from the customer before the new prospect record is created. This gives the system one more chance to find an existing match and avoid creating a duplicate, and any information entered carries forward automatically into the new prospect form.

  • Pending Guests - Internet Leads Now Route to the Process Lead Tab
    Double-clicking a pending guest that originated from an internet lead now opens the Process Lead tab instead of an empty Update Guest form. This gives salespeople immediate access to the full lead details along with duplicate detection and customer matching. Anonymous walk-in guests with no lead attached continue to work as before.

  • Add Up Window - "Log New Traffic" Hidden When First Visit or Be-Back Applies
    When an existing customer's traffic qualifies for a First Visit or Be-Back, the "Log New Traffic" option is now hidden in the Add Up window so salespeople are guided to the correct action instead of accidentally creating a duplicate traffic log. The buttons have also been renamed to "Log First Visit" and "Log Be-Back" for clarity. Administrators can grant a new permission in User Setup to restore the "Log New Traffic" option for users who legitimately need it.

  • Traffic Log - Action Button Labels Clarified
    The "First Visit," "Be-Back," and "New Traffic" buttons on the Traffic Log have been renamed to "Log First Visit," "Log Be-Back," and "Log New Traffic" to make it clearer that clicking them logs an action against the existing record. This is intended to reduce accidental duplicate traffic log creation.

  • Process Lead Window - Vehicle of Interest Now Displayed
    The Process Lead window now shows the vehicle of interest from the lead alongside the customer's other details, and the Current Lead section is now presented in a clearer card format. When reviewing potential duplicate leads for the same customer, salespeople can now see at a glance which vehicle each lead relates to, making it easier to pick the right one.

Sales Email/Texting Templates

  • Template Setup - Sales Leads Now Available for Texting Templates
    The Contact Type dropdown when adding a new texting template now includes Sales Leads as an option, matching what is already available for email templates. This makes it possible to build texting templates for sales lead communications the same way you already can for other contact types.

  • Merge Fields - New SalesPersonCell Field for Email and Texting Templates
    A new SalesPersonCell merge field is now available in email and texting templates, alongside the existing SalesPerson and SalesPersonEmail fields. It automatically pulls in the assigned salesperson's cell phone number, correctly formatted, so it no longer needs to be typed in manually each time.

Sales I-Leads

  • I-Leads Setup - New Option to Use Provider Name as Lead Source
    A new "ADF Source" option is now available in Email Setup under I-Leads, allowing a specific sending domain to use the original provider name from an incoming lead as the lead source, rather than the sending email domain. This is useful when leads are relayed through a third-party enrichment tool, ensuring the correct provider is credited as the source rather than the relay domain.

  • Leads - Provider Name Now Used as Source for Relayed Leads
    When a lead email domain is configured to use the provider name as the lead source, DealerMine now reads the provider name from the incoming lead and displays it correctly in the Web Leads grid and reports. This ensures leads relayed through a third-party platform show the correct original source instead of the relay domain.

Other Enhancements

  • Worksheets - "Create Another" Now Adds a Second Worksheet Instead of New Traffic
    Using the Create Another checkbox on an existing worksheet now correctly adds a second worksheet to the same piece of traffic instead of creating a brand new traffic record. The new worksheet's traffic details (type, department, media, and status) now pull in automatically from the existing traffic log, so salespeople can quote multiple vehicles for the same customer without generating duplicate traffic.

  • Traffic Log - Overdue Appointments Now Stay Visible and Flagged
    Sales appointments that go past their due date without being completed no longer disappear from the Traffic Log. The calendar icon now turns red to flag overdue appointments, so they remain visible until they're actioned instead of quietly dropping off.

Sales CRM Fixes

  • Fixed an issue where typing an address in the Add Prospect screen triggered a Google Maps error popup.

  • Fixed an issue where opening a follow-up appointment through Work Plan, Customer Profile, then the Traffic Log tab caused the screen to become difficult to navigate, requiring a full logout and login to recover. This no longer occurs.

  • Fixed an issue where automated appointment reminder emails were occasionally sent using the wrong store's branding. Reminder emails now correctly use the branding of the store where the appointment was booked.

  • Fixed an issue where the Assigned To dropdown on the Follow Ups tab displayed employees from other stores who did not have access to the currently selected store or branch. The dropdown now only shows employees with access to that store or branch.
