Engage AI crafts a personalized and unique voicemail for each customer regarding service maintenance, creating an incredible customer experience without lifting a finger.</p><p></p></li></ol><hr><h1><strong>Service & Sales Fixes</strong></h1><ol><li><p> <strong>Voice Drops</strong> - There was an intermittent issue that may have caused some voice drops to be sent out before or after business hours due to an issue during reset. We have this resolved and now Voice Drops will once again send at their specified time.</p></li><li><p><strong>Emails not Sending</strong> - We found some emails were not sending in DealerMine and no errors were surfacing to let the user know. Not to worry, this issue has been fixed! This issue has been resolved, and you will now only see rows that represent an opcode.</p></li><li><p><strong>Incoming Orphan Texts</strong> - There was an issue at times where a timeout error would occur when trying to load the orphan texts. We have modified this to only load 50 at a time to improve overall performance.</p><p></p></li></ol><hr><h1><strong>DMS Fixes</strong></h1><ol><li><p><strong>SERTI</strong> - We have introduced a new option in Global Configuration for Serti stores, enabling them to close ECP warranty repair orders (ROs) while ensuring that VINs remain linked to the correct customer profile. </p></li><li><p><strong>CDK</strong> - We have created a new option that will push the opcode description and the user written opcode complaint on all service appts being booked, per opcode on the appointment. The opcode description will push to “Service Request” and the user written opcode complaint will push to the “Cause”. This new option can be found in Global Configuration > Branch > CDK Push Opcode Desc In OpCode Lines. If disabled, only the opcode complaint will be pushed to CDK. </p><p></p><hr></li></ol><h1><strong>Sales CRM Features</strong></h1><ol><li><p><strong>Web Leads</strong> - We’ve enhanced web leads to automatically use the <strong>department</strong> associated with the vehicle of interest if that information is included in the lead. For example, if a lead specifies interest in a used 2022 Mazda 5, the department on the lead will be displayed as “Used,” even if the default department in the I-leads setup for that domain is set to “New.” The default value will only be used if no department information is provided in the lead details.</p></li><li><p><strong>Sales Reassign</strong> - We have made a change to improve the usability and performance of Sales Reassign. Now when you go to Portfolio > Sales Reassign, you will be able to Select Max (500 records) at a time. This will prevent the system from timing out during the reassign process.</p></li><li><p><strong>Showroom History</strong> - We have added a Notes tab in the Showroom History window that will display notes in chronological order.</p><p></p></li></ol><hr><h1><strong>DealerMine Sales CRM - Autovance Desking Integration </strong></h1><p>We have been continuing to make more changes to DealerMine to build out world-class integration to the best Desking tool in Canada, <a href="https://autovance.com/desking-tool/?utm_source=noticeable&utm_campaign=dealermine.release-notes-9-6-5-january-2025&utm_content=publication+link&utm_id=8JFTStdTVAEb6OED1aAd.D1BveVplZLQAefYbSZC0.kP6GLUQoLMVpJ3a3CNuT&utm_medium=newspage">Autovance</a> (yes, we’re biased). Here’s a quick review of some of the changes:</p><ol><li><p><strong>Tax option</strong> - We have added a new option where you can specify to use the dealerships province/state or the customer to use when sending information to Autovance to desk a deal properly. This new option can be found in <strong>Global Configuration > Branch > “Deal Create Tax Prov/State”</strong>.<strong> </strong>Choose from Dealer Prov/State or Customer Prov/State. This will use the chosen value to send the appropriate tax rate to Autovance.</p><p></p><figure><img src="https://storage.noticeable.io/projects/8JFTStdTVAEb6OED1aAd/publications/kP6GLUQoLMVpJ3a3CNuT/01jhta9waj79szqbe920ym90fh-image.png" alt="" loading="lazy" title=""></figure><p></p></li><li><p><strong>Pushing a Business Customer to Autovance</strong> - When a customer profile is marked as a “business”, we are now pushing that detail to Autovance as a Retail Business. This eliminates the need for any changes to be made in Autovance when desking the deal. </p><p></p><p></p></li></ol><hr><h1><strong>Sales CRM Fixes</strong></h1><ol><li><p>There was an inventory issue that impacted Branch customers only. Some vehicles in stock were displaying twice, which was causing confusion. This issue is now resolved.</p></li><li><p>We discovered a bug where some follow-ups were not visible in the Traffic Log for the customer, when they had an upcoming follow-up. This bug has been squashed!</p></li><li><p>When processing a sales lead and adding it to the Traffic Log, the lead will be assigned to the same Salesperson as the Traffic Log entry if it was not already assigned. Prior to this, the lead was remaining as unassigned.</p></li><li><p>An issue was identified where Unsold emails were not consistently sending using the email address entered in the Unsold schedule setup. If a customer who was previously OFF for CASL reaches out via email or text, our system will automatically turn them back on, allowing users to respond without the need to manually reactivate them.</p></li></ol><hr><h1><strong>Service & Sales Fixes</strong></h1><ol><li><p><strong>CASL Reactivation</strong> - When CASL logic automatically reactivates a customer, both email and texting contact types will now be enabled simultaneously. Previously, if no phone number or email was listed on file, the contact types were not reactivated.</p></li><li><p><strong>Email not Sent Error</strong> - When sending emails through dealer servers (SMTP), there are several reasons an email may not be delivered. In the past, these emails would simply appear in the sent items folder, which could give the impression that they were successfully sent. Now, if an email fails to send, an error message will appear explaining the issue, and the email will be saved as a draft, allowing the user to reattempt sending it.</p><p></p><figure><img src="https://storage.noticeable.io/projects/8JFTStdTVAEb6OED1aAd/publications/dUA3ddYJAGxL2zPmIC6Q/01jebyazvjp8memeecgmbezfr9-image.png" alt="" loading="lazy" title=""></figure><p></p><p></p><hr></li></ol><h1><strong>Service CRM Fixes</strong></h1><ol><li><p><strong>BRANCHED STORES ONLY</strong> - We identified an issue where inquiries (aka Customer Searches) involving customers at a branched dealership were sometimes defaulting to the incorrect branch. This prevented users from sending emails or texts because they lacked access to that branch. The issue has now been resolved, and the system will default to a branch the user has access to, making sure this problem no longer occurs.</p></li><li><p><strong>SMS</strong> - We’ve implemented an update that enables you to easily copy text from the messaging window and paste it into another screen as needed.</p></li><li><p><strong>Confirmation Emails</strong> - An issue was identified where some confirmation emails were sent using the incorrect template. This was due to a glitch with the selected transportation code, which has now been resolved.</p><p></p></li></ol><hr><h1><strong>OLS Fixes</strong></h1><ol><li><p>When FREE FORM was enabled, the option to push new customers to DMS was hidden, but the code was still attempting to add a new customer in the background. We’ve fixed this by defaulting to the lowest branch accessible to the user when a customer search is done without a VIN. Since most users search by selecting the customer row rather than the VIN at the bottom of the screen, the previous setup sometimes led to profiles defaulting to an inaccessible branch. Now, you can make several changes and save them all at once when you're done.</p></li><li><p><strong>Traffic Log Status</strong> - The “Delete Traffic” status is now mandatory and cannot be deleted, edited or made inactive from the Showroom Configuration screen</p></li><li><p><strong>Delete Traffic Status</strong> - We have made an improvement when a Traffic Log status is changed to “Delete Traffic” a pop-up will appear where the user will choose a reason and enter a note. You can now see the proper status of all messages in a batch and have complete visibility on those that failed. In Store Specifications you must have this option checked off in order to use this logic. <em>“Pulling Appts: Do not override zero hours appt line when checked. If unchecked, we will use Actual Hours if available if not will use the Average Hours.”</em></p></li><li><p><strong>Service Leads Filters </strong>- We have resolved an issue with two of the defaulted filters, Deleted and Completed. The defaults for the filters in question are “Exclude Deleted” and “Exclude Completed” and prior to the correction, when changed to another value, the results were not updating properly.</p></li><li><p><strong>Fetch Campaigns on Call Select</strong> - There was an issue where we were displaying Fetch Campaigns on the Call Select screen to users who did not have access to the dealerships the campaigns were for. This issue was happening when the user was selecting ALL stores on the Call Select screen. This issue has been resolved.</p></li><li><p><strong>Opcode Control</strong> - There was an issue where opcodes were displaying 3x when being added to a new Repair/Recall Group. This has been resolved.</p></li><li><p><strong>Monthly Performance Summary PCR Calculation (Branching stores only)</strong> - There was an issue where the PCR % (productive close rate) was showing too high for a particular user. After thorough investigation this was caused by some recycles being connected to the wrong branch. This issue has been resolved.</p></li><li><p><strong>Incorrect Contact History (Branching stores only) - </strong>There was an issue where a newly added customer in the DMS was booked for an appointment and when recycled in DealerMine, we were counting the recycle towards store 1, branch 1, rather than the branch in which the appointment is booked for. This has been resolved and we will now count recycles based on the branch the VIN is booked for. </p><ul><li><p>Another example of incorrect Contact History being recorded was intermittently happening when a user replied to a customer email. At times it would log it as store 1, branch 1 in error. This has been resolved.</p><p></p></li></ul></li></ol><hr><h1><strong>OLS Fixes</strong></h1><ol><li><p><strong>Book by Teams not displaying Appt Dates</strong> - There was an issue when OLS was set to book by teams, that the appointment dates and times were not displaying. This issue has been resolved. </p></li><li><p><strong>Limit booking for X number of business days out</strong> - We encountered an issue where Sunday was mistakenly being counted as a business day, which affected the appointment dates shown to users. For example, if the number entered is 2 and the customer tries to book an appointment on a Saturday, the system should now skip Sunday (since it's not a business day), as well as Monday and Tuesday, and display Wednesday as the first available appointment date. This issue has been fixed, and non-business days will no longer be counted as business days in this logic.</p></li><li><p><strong>Confirm Email</strong> - We had an issue where the confirmation email sent after a customer booked an appointment on OLS did not include the booked services when the "Services" merge field was part of the confirmation template. This issue has been resolved, and now, when the merge field is included in the template, all booked services will be included in the email.</p></li><li><p><strong>Transportation Types Not Displaying</strong> - There was an issue where the transportation types were not being displayed to the customer in OLS. This has been resolved.</p><p></p></li></ol><hr><h1><strong>DMS Fixes</strong></h1><ol><li><p><strong>Tekion</strong> - We were missing some future appointments due to an integration change. We have updated things on our end and all future appointments in Tekion should now be visible in DealerMine.</p></li><li><p><strong>ERA</strong> - OLS appointments were failing to push directly to ERA due to an invalid promise time being sent in our appointment request. This has been resolved. </p></li><li><p><strong>CDK</strong> - We were displaying VOIDED work orders as “WIP” in DealerMine. We will no longer display the “WIP” indicator on vehicle if CDK stops sending the RO to us in our Open RO pull. </p></li><li><p><strong>Multiple DMS’</strong> - There was an issue reported when an appointment is booked, the Opcode lines would occasionally go missing. Everything pushed to the DMS correctly and when the next download ran, the Opcodes would reappear on the appointment. This issue has been resolved.</p><p></p><hr></li></ol><h1><strong>Sales CRM Feature</strong></h1><ol><li><p>Add BDC Representative to the Traffic Log</p></li></ol><p>We have added a new dropdown to the Traffic Log called BDC Representative. The purpose of this dropdown is to provide dealerships and dealer groups, who have internal Sales CRM BDC agents, with the ability to track the leads that BDC representatives have processed, qualified, and booked appointments for, that have turned into sales.</p><p>When a BDC representative turns a lead into a piece of traffic, they can now assign themself to the traffic log in the <em>BDC Representative</em> field. This allows the BDC agent to:</p><ul><li><p>quickly find the traffic they have been working on</p></li><li><p>visibility of activities that have been completed by the salesperson</p></li><li><p>collaborate with sales staff</p></li></ul><p>Setup is very easy. There is a BDC Representative Dropdown checkbox in the User Setup. We have made a change to default the Salesperson drop down to ALL so that the Unsold Schedules display instantly for the Sales Manager since the Unsolds are connected to the assigned Salesperson.</p></li><li><p><strong>Worksheet </strong>- There was an issue when adding a cell phone number and searching the database during worksheet creation where we were pulling the cell phone into the home phone field. This issue has been resolved. </p></li><li><p><strong>Up List Rotation</strong> - We encountered an issue where all salespeople were being displayed in the up rotation list for branched dealerships, regardless of the selected dealership. The list will now only show salespeople assigned to the specific store or branch chosen.</p></li><li><p><strong>Portfolio - Sales Reassign</strong> - We encountered an issue where the Active and Inactive Salesperson lists were not updating according to the selected store or branch. This has been resolved.</p></li><li><p><strong>Incorrect Date/Time Stamps</strong> - When a Traffic Log note or Follow up was being deleted, the wrong date & time stamp was being saved in history. This issue has now been resolved.</p></li><li><p><strong>Fetch Campaigns on Call Select</strong> - There was an issue where users could view all Fetch campaigns, including those for stores they didn't have access to. This has been resolved, and users will now only see campaigns for the stores or branches they are authorized to access.</p></li></ol><hr><h1><strong>Service CRM Features</strong></h1><ol><li><p><strong>Batch Texting</strong> - New "Batch Name" field as been added within Batch Texting. This is a mandatory field. For existing batches, we have defaulted it to be the same as "Template Name" but can be updated to anything you like.</p></li><li><p><strong>1:1 Texting</strong> - We have implemented error handling so you will now see an indication when a text message has failed to send to a customer within the texting "phone" window. The message will be grey with a red outline and "delivery failed" wording underneath. A new message will also be generated showing the exact error code we received from the carrier. If the message window is closed before this message is received, it will show as a new "unread" text to ensure the user see it, so they know the message was not sent successfully. However, when they tried to click on these stores, the system prevented them from viewing any data. This issue has been resolved.</p></li><li><p><strong>Service History not Aligned</strong> - There was an issue in the Service History where some ROs were misaligned due to NULL opcodes being sent to us. We removed the NULL values, which resolved the problem.</p></li><li><p><strong>Incorrect Time on Opcodes</strong> - An intermittent issue occurred when booking appointments in DealerMine. While the correct hours were initially assigned to each opcode, they would change to incorrect values after the daily download was completed. This issue has now been resolved.</p></li></ol><hr><h1><strong>OLS Fixes</strong></h1><ol><li><p> <strong>Branched Service History</strong> - <span style="color: var(--ds-text, #172B4D);"> </span>We will now take into account maintenance recently performed on a vehicle at a different branch when a VIN is searched in OLS. This means that if a VIN is associated with store 1, branch 1 but is searched in the OLS for store 1, branch 2, the applicable maintenance schedule for any outstanding maintenance should be based on branch 2. However, it should also consider the service history from other branches.</p><p>For example, if a vehicle's VIN is searched in branch 2, the system should not list "Brake Service" or "Wheel Alignment" under outstanding maintenance if these services were recently completed in branch 1.</p></li><li><p><strong>Confirm Email</strong> - There was a problem where repair opcodes were missing from the confirmation email sent to customers right after they completed an online booking; only maintenance opcodes were included. This issue has now been fixed, and all booked opcodes will appear in the confirmation email.</p><p><span style="color: rgb(182, 194, 207);"><br></span></p></li></ol><hr><h1><strong>DMS Fixes</strong></h1><ol><li><p><strong>Tekion</strong> - We were missing some future appointments due to an integration change. Now, if a customer books online with a matching last name and phone number but a different email, the appointment will proceed smoothly without needing to contact the dealership. This improved process allows the booking to proceed without associating a customer number.</p></li><li><p><strong>OLS Configuration</strong> - We've fixed an issue where some users encountered an error when trying to view the “Maintenance Groups” tab. Everything is now working as it should!</p></li></ol><hr><h1><strong>DMS Fixes</strong></h1><ol><li><p><strong>Tekion</strong> - We were missing some future appointments due to an integration change. We have updated things on our end and all future appointments in Tekion, should now be visible in DealerMine.</p></li><li><p><strong>PBS</strong> - We were not always giving proper appointment credit for bookings to the original user. This issue was isolated to merged customer files and the issue has been resolved, including historical data.</p></li><li><p><strong>Tekion</strong> - We were missing the CP Hours on Key Report 8. We have updated our integration to use the data being sent to us to now properly displaying the CP hours sold.</p></li><li><p><strong>SERTI</strong> - We identified an issue when users tried to search for customers in the Search Screen. This problem popped up after the resource-intensive process we ran during the day to build vehicle and customer files (since SERTI does not provide this data, we compile it from appointments, service history, and F&I). To address this, we moved this process to the nightly download. As a result, Any new customer created or VIN added in SERTI will not be available until the nightly runs. If an appointment is booked in Serti on the same day, it will display but cannot be edited in DealerMine until the following day.</p></li><li><p><strong>SERTI</strong> - Previously, Serti only provided appointments up to 30 days in the future, causing any appointment booked beyond that to disappear. Serti now offers a 400-day appointment window to ensure all future appointments are visible in DealerMine.</p></li><li><p><strong>SERTI</strong> - We've implemented necessary updates to accurately store and display NO SHOW appointments, as SERTI no longer sends us past appointments through the integration.</p><p></p><hr></li></ol><h1><strong>Sales CRM Features</strong></h1><p><strong>Delete Traffic </strong>- We have added a new way to delete traffic log entries.</p><p>In Showroom Configuration, there is a new status called Delete Traffic. It has similar functionality to the Lost status. You cannot delete, edit, or hide this status. However, like all statuses, you can limit its usage by removing User Access.</p><p></p><figure><img src="https://storage.noticeable.io/projects/8JFTStdTVAEb6OED1aAd/publications/20i6XvJsOu4lsloFzfvM/01j4pa6rnn80exzydc8qyd9md2-image.png" alt="" loading="lazy" title=""></figure><p></p><p>When on the Traffic Log, and you select the status Delete Traffic, you will get a popup asking you to select a reason for deleting the traffic. These reasons come from the Showroom Configuration for Deleted Guest Reasons. This is not ideal as these deleted guest reasons are not statuses that you can filter. However, you can use the Deleted filter to find the Deleted Traffic. This occurred specifically in merged customer records where the vehicle was owned by the child file and the service history from the parent file wasn't taken into account. As a result, these vehicles were removed from the voice drop campaign. Don’t worry though, we sorted it out and everything is back on track!</p><p></p><hr></li></ol><h1><strong>DealerMine Fixes</strong></h1><ol><li><p><strong>Automatic Logout</strong> - There was an issue where users were not being logged off automatically after being inactive in DealerMine for 60 minutes or more. Now, after 60 minutes of being inactive in DealerMine, you will be logged out and will need to log back in. </p><hr></li></ol><h1><strong>OLS Features</strong></h1><ol><li><p>When a repair or recall is added, and the user reopens the screen and clicks CANCEL, the previously selected items will remain unchanged and will not be removed. Additionally, if the repair or recall screen is reopened and entries already exist, the ADD button will now be labeled as SAVE.</p></li></ol><h1><strong>OLS Fixes</strong></h1><ol><li><p>Previously, there was an issue where information entered wasn't being saved when a user navigated back to a previous screen/step. We’ve fixed this up and now all data will be retained.</p></li><li><p>We experienced an issue where the confirmation email sent immediately after a customer requested an appointment did not display all the booked opcodes. This was related to branching, but we have corrected this to run as it should.</p></li><li><p>There was an issue with OLS on small screens where some sections weren't displayed, and the user couldn't scroll. We have implemented scroll bars to make sure all elements are visible.</p></li><li><p>We have enhanced the cursor behavior when using OLS on a desktop with a mouse. Now, as you move the mouse, you will see the arrow cursor, which switches to a hand cursor when there is a selection or option available to click.</p></li></ol><hr><h1><strong>DMS Fixes</strong></h1><ol><li><p><strong>SERTI</strong> - There was an issue where newly created customer files in DealerMine were disappearing and becoming unsearchable after creation. This was sorted through and now working as it should.</p></li><li><p><strong>SERTI</strong> - We had experienced a problem with certain company names not displaying in our product, preventing users from clicking on them to access the customer information screen and make necessary changes. We worked through the issue and have it all fixed up.</p></li><li><p><strong>SERTI</strong> - There was an issue where some vehicles were appearing on the previous owner’s profile in DealerMine, rather than the correct customer. Not anymore! This is all fixed up.</p></li><li><p><strong>Tekion</strong> - We are now using "primary = T" when receiving sales data from Tekion to correctly determine if a vehicle belongs to a specific deal on a customer profile. Previously, there may have been instances where vehicles marked "primary = F" were incorrectly shown.</p><p></p><hr></li></ol><h1><strong>Sales CRM Features</strong></h1><ol><li><p><strong>First Visit </strong>- You can now track your customers and who was in for their first visit. In Showroom Configuration > Traffic Log Types, you will see a column with a check box for “First Visit”. Check off any Traffic Types that don’t represent the customer being physically in your Showroom for their first visit (e.g. Internet lead, Call in, etc.). Once the setup is complete, rather than seeing the Be-Back button on the Traffic Log, you will see a First Visit button. When the First Visit button is checked, it will then turn into a Be-Back button. Users had to press the Enter key on their keyboards instead. We have updated the monthly payment terminology to "PMT" as it varies with the payment frequency.
